By registering as a partner or using our services, you agree to be bound by these terms, our Privacy Policy, and any additional terms that may apply to specific services.

Your relationship with Self Vibe

As a Self Vibe partner, you maintain your independence as a business owner while leveraging our platform to enhance your operations. We provide technology solutions; you provide the services to your clients.

  • We provide software tools and payment processing capabilities
  • You set your own prices and service offerings
  • We facilitate bookings and payments but don't control your business decisions

Our booking system allows your clients to schedule appointments online while giving you full control over your availability and booking policies.

You maintain full control over your booking policies, including cancellation terms, advance booking requirements, and availability windows.

Payment Terms: We collect payments on your behalf and transfer funds to your designated bank account according to our payment schedule, minus applicable processing fees.

Fees: Payment processing fees are clearly disclosed and competitive with industry standards. No hidden charges or surprise fees.

For partners requiring physical payment terminals, we offer modern, secure card readers that integrate seamlessly with our platform.

Terminal features:

  • Regular security updates and compliance

Terminal Rental: Terminals are available on a rental basis with competitive monthly rates. No long-term contracts required.

Self Vibe store

The Self Vibe Store allows you to sell retail products alongside your services, creating additional revenue streams for your business.

  • Online and in-person sales capabilities
  • Integration with appointment bookings
  • Automated tax calculations
  • Sales reporting and analytics

You maintain full control over your product pricing, descriptions, and availability. We simply provide the platform to showcase and sell your products.

You retain ownership of all content you upload to our platform, including business information, service descriptions, photos, and client data.

Your Responsibilities:

  • Maintain professional standards in all communications

Our Rights: You grant us a limited license to display your content on our platform and in marketing materials (with your permission) to promote our services.

Independent controllers

Under data protection law, both you and Self Vibe act as independent data controllers for different aspects of data processing.

You are the controller for:

  • Your client's personal information and treatment records
  • Business decisions about data collection and use
  • Compliance with client consent requirements
  • Data retention policies for your business records

We are the controller for:

  • Platform usage analytics and system performance data
  • Account security and fraud prevention measures
  • Service improvement and feature development
  • Legal compliance and regulatory reporting

Self Vibe as data processor

When processing your clients' data on your behalf, we act as a data processor under your instructions as the data controller.

Our processing activities include:

  • Storing client appointment and contact information
  • Processing payments and generating receipts
  • Sending automated appointment reminders
  • Generating business reports and analytics

Data Processing Agreement: Our data processing activities are governed by a separate Data Processing Agreement that forms part of these terms, ensuring compliance with POPIA and GDPR requirements.

Self Vibe's right to access your data

We may access your account data in limited circumstances to provide support, ensure platform security, and comply with legal obligations.

Permitted access scenarios:

  • Technical support and troubleshooting (with your permission)
  • Security incident investigation and response
  • Legal compliance and regulatory requirements
  • Platform maintenance and system updates

Access Controls: All data access is logged, limited to authorized personnel, and subject to strict confidentiality requirements.

Your Rights: You can request details of any data access and receive copies of your data at any time through your account dashboard or by contacting support.

Self Vibe charges and fees

Our pricing structure is transparent and designed to grow with your business:

Subscription Fees

  • Basic Plan: R299/month - Essential features for solo practitioners
  • Professional Plan: R599/month - Advanced features for growing businesses
  • Enterprise Plan: R999/month - Full feature suite for large operations

Transaction Fees

  • Card payments: 2.9% + R2.50 per transaction
  • EFT payments: 1.5% (minimum R5.00)
  • International cards: 3.4% + R2.50 per transaction

No Hidden Fees: All charges are clearly disclosed upfront. No setup fees, monthly minimums, or surprise charges.

Fee Changes: We will provide 30 days' notice of any fee changes, and you can downgrade or cancel your subscription at any time.

How we invoice and pay our partners

We handle all payment processing and provide regular payouts to your designated bank account:

Payment Schedule: Funds are transferred to your account within 2-3 business days of payment collection, minus applicable fees.
Minimum Payout: R100 minimum balance required for automatic payouts. Smaller amounts are held until the minimum is reached.
Invoicing: Monthly statements are provided showing all transactions, fees, and payouts for your records.
Tax Compliance: We provide all necessary documentation for VAT and income tax reporting requirements.

Refunds and Chargebacks: In case of refunds or chargebacks, the amount will be deducted from future payouts or charged to your registered payment method.

In case of concerns or disputes

Step 2 - Escalation: If not resolved, your concern will be escalated to our partner relations manager within 48 hours.
Step 3 - Formal Dispute: For unresolved disputes, we offer mediation through the South African Institute of Chartered Accountants (SAICA) dispute resolution process.
Legal Action: Any legal disputes will be governed by South African law and subject to the jurisdiction of South African courts.

Emergency Support: For urgent technical issues affecting your business operations, we provide 24/7 emergency support through our priority hotline.

Self Vibe Platform: The complete software solution including web application, mobile apps, and associated services.
Partner: A beauty or wellness professional or business using our platform to manage their operations.
Client: End customers who book and pay for services through our platform.
Services: Beauty, wellness, or health services provided by partners to their clients.
Transaction: Any payment processed through our platform for services or products.
Data Controller: The entity that determines the purposes and means of processing personal data.
Data Processor: The entity that processes personal data on behalf of a data controller.

Interpretation

These terms should be interpreted as follows:

  • Governing Law: These terms are governed by the laws of South Africa and comply with the Protection of Personal Information Act (POPIA).
  • Language: The English version of these terms is the authoritative version. Any translations are provided for convenience only.
  • Severability: If any provision is found to be unenforceable, the remaining provisions will continue in full force.
  • Updates: We may update these terms from time to time. Significant changes will be communicated with 30 days' notice.
